# Notion & Notes

> Notion guides, templates, and fixes: databases, task systems, and honest comparisons with Obsidian and other note apps.

**Short answer:** Notion pays off when it holds one system you actually use, not when it holds a museum of templates you never open. Start with a single database for the work you already track, add one view that shows today, and leave the rest until the first system survives a full week.

**Who it's for:** freelancers and small teams who want their notes, tasks, and reference material in one place, and anyone who has started three Notion workspaces and finished none of them.

## What should a Notion workspace actually contain?

A workspace earns its keep with three things: a place to capture, a place to decide, and a place to find. Capture is quick and unstructured, because anything slow gets skipped. Decide means tasks and projects carry an owner, a due date, and a status you will honestly maintain. Find means each item lives in one database with properties you can filter, rather than in a page somewhere in a tree you have stopped scrolling. Everything else is decoration. Most abandoned workspaces fail for the same reason: they were built around a template's structure instead of the way the owner works on a Tuesday morning. If a system asks you to maintain twelve properties to record one task, it will not survive a busy week. One database, three properties, and a daily view beats a perfect system you stop updating.

## Which tool fits which kind of notes?

| Tool | Best for | Where it breaks | Start with |
| --- | --- | --- | --- |
| Notion | Databases, projects, mixed media pages | Slows down as the workspace grows | [Task system](/notion-task-system/) |
| Obsidian | Local plain-text notes you own | Nothing syncs until you set it up | [Notion vs Obsidian](/notion-vs-obsidian/) |
| Apple or Google Notes | Fast capture on a phone | No relations, weak search at scale | [Getting started](/notion-database-beginner-guide/) |
| Evernote | Web clipping archive | Clunky editing, dated interface | [Obsidian vs Evernote](/obsidian-vs-evernote/) |
| Asana or Trello | Team projects with workflows | Rigid for personal notes | [Notion vs Asana](/notion-vs-asana/) |

The honest answer is that these tools overlap more than their marketing suggests, and the difference shows up in maintenance rather than features. A plain folder of text files will outlast most workspaces simply because it never asks you for anything. Notion wins when the structure itself is doing work for you: a project board that updates a client list, a reading queue that feeds a weekly review. If you cannot name what the structure buys you, you are paying maintenance cost for a view you look at once.

## Why do Notion databases and sync break?

The recurring problems are almost never random. A rollup returns nothing because the relation it depends on is empty, not because Notion is broken. A sync error is usually one device holding an old edit, and it resolves when that device is opened and left connected. A database feels slow once a view is asked to compute relations across thousands of rows, which is a size problem rather than a bug. Sharing problems come from permission settings on the parent page, which override what the child page shows. Each of these has a specific fix, and the fixes are easier than the reputation suggests.
